The Attendance module helps administrators manage employee attendance, work schedules, leave policies, overtime rules and shift configurations from one centralized dashboard. This module ensures accurate attendance tracking, simplifies workforce scheduling and provides flexibility to configure attendance rules based on your organization’s operational requirements.
The Attendance module consists of four key sections:
- Reports – View attendance records in daily, weekly, monthly and calendar formats for tracking employee presence, working hours, overtime and attendance status.
- Leaves and Holidays – Configure organization holidays and manage leave settings to ensure attendance calculations align with approved time-off schedules. Learn More.

- Shift Management – Create and manage work shifts, configure working hours, break deductions, grace periods, week-offs and assign shifts to users. Learn More.
Reports

The Reports section under Attendance provides detailed attendance insights in three different views: Daily View, Weekly/Monthly View and Calendar View. These views help administrators and managers monitor attendance records, track employee status, download attendance reports and make attendance-related updates when required.
The Reports section also allows filtering attendance data based on dates and user-specific attributes for better analysis and record management.
Daily View

The Daily View displays attendance records for a selected day. Using this section, you can:
- View attendance details for all users for a specific date
- Filter attendance by selecting a date using the date selector
- Apply filters based on user attributes or attendance-related criteria
- Download attendance data for the selected day
- Check employee attendance status directly under the Status column

The status indicates whether the user is:
- Present
- Absent
- WFH (work from home)
- On Leave
This view is useful for monitoring day-to-day attendance activity across the organization.
Report Actions

The Attendance Reports page provides several actions that help administrators customize, filter and download attendance data efficiently.
The Eye Icon allows administrators to customize the columns displayed in the attendance report.

Organizations that use custom attributes may see additional columns based on the organization-specific attributes.
For example, if certain custom attributes are not required in the report, administrators can deselect them from the column list. The selected columns will then be reflected in both the report view and the exported file.
Note: Customizing columns only affects how the data is displayed and downloaded. It does not remove or modify the actual data stored in the system.
Filter (Funnel Icon)

The Filter option allows administrators to refine attendance records and display only the required data.
To apply filters:
- Click the Filter (Funnel) Icon located at the top of the report page.
- A filter window will appear with various filtering options.

- Select the required criteria from the available fields,
- After selecting the required filters, click Apply Filters.

The report will automatically refresh and display attendance records matching the selected criteria.
Note: Multiple filters can be applied simultaneously to narrow down the results and generate more targeted attendance reports. The applied filters will also be reflected in downloaded reports.
Download Daily Attendance Data

The Download option allows administrators to export attendance data for reporting, payroll processing, auditing and record-keeping purposes
Click the Download icon to export daily attendance data.
File format: Excel

Once the download is initiated:

A status tab may appear while the file is being generated

- Since large datasets may take time to process, generation may take a few moments
- You may safely close the tab while the file continues preparing in the background.
- Once the file has been generated, you can click on the download icon as shown below to further download the file. The download icon can also be used to access the previous download list.

- After the file has been generated and when you click on the download icon, a ready to download message along with the icon will appear next to the file name . Click on the icon to further download the file.

Date Selector

The Date Selector allows administrators to choose the period for which attendance data should be displayed.
Weekly / Monthly View
The Weekly/Monthly View provides attendance summaries for longer periods. You can:
- Switch between Weekly and Monthly attendance data using the dropdown filter

- Download attendance reports in multiple formats

Detailed User Attendance View
To view a detailed attendance breakdown for an individual user:
- Navigate to Weekly View or Monthly View
- Scroll toward the right side of the table
- Click the dropdown menu beside the user record

4. Select Detailed View
A slide-out detailed attendance panel will appear, showing:

- Daily attendance logs
- Entry and exit times
- Attendance status
- Attendance remarks
You can also download this detailed attendance report directly from the detailed view panel.
Additional Actions (Three-Dot Menu)

Within the Detailed Attendance View, administrators can access additional attendance management options by clicking the Three-Dot Menu (⋮) available for a specific attendance record.
The following actions are available:

Regularize Attendance
The Regularize Attendance option allows administrators or managers to correct attendance records when there are missing, incomplete or incorrect attendance entries..
After regularization, the attendance record is updated and reflected in attendance reports.
Mark Leave
The Mark Leave option allows administrators to apply leave directly for the selected attendance date
This option is useful for updating attendance records when an approved leave request was not previously recorded.
View Report
The View Report option displays detailed attendance information for the selected date.

Downloading Weekly/Monthly Attendance for All Users
To download attendance data for all users:
- Click the Download icon

- Select the required report format/view from the dropdown options

Available Download Formats
Excel (Overall View)

Provides a summarized attendance report for the selected period, showing key attendance metrics in a single consolidated view.
Excel (Detailed Vertical View)

Displays attendance information in a detailed format where each attendance record is listed vertically, providing a comprehensive employee-wise breakdown.
Excel (Detailed Horizontal View)

Displays attendance information in a tabular format with dates arranged horizontally, making it easier to compare attendance across multiple days within the selected period.
Excel (No Header)

Exports attendance data without report headers or additional formatting, providing a simplified dataset for further processing or integration with external systems.
Excel (Consolidated).png)
Provides a consolidated attendance summary combining attendance metrics for all employees within the selected period into a single report.
Calendar View
The Calendar View provides a calendar-based attendance overview for easier tracking and management.

Using this view, administrators can:
- View attendance records date-wise in calendar format
- Mark a day as On Leave
- Regularize attendance when required

To download attendance data from the Calendar View:
- Click the Download icon.

- Select the required report format.

- Generate the report.
- Once the report is ready, navigate to the Downloads section and click the Download Arrow icon to download the file.
Available Download Formats
- Excel (Detailed Vertical View)

Provides a detailed attendance report where attendance records are displayed vertically, showing employee attendance information in a structured and detailed format.
- Excel (Detailed Horizontal View)

Provides attendance information in a horizontal format, making it easier to compare attendance records across multiple dates within the selected month.
Attendance Regularization

After clicking on attendance regularisation, you can set the start time and end time with any additional comment.

Attendance regularization allows corrections to attendance records when necessary.
Important:
- Attendance regularization can only be performed by the Admin or the assigned Manager
- Regular users cannot regularize attendance records
This feature ensures attendance corrections remain secure and properly authorized.
The Reports section gives administrators complete visibility into attendance records while offering flexible filtering, downloading and attendance management tools for accurate workforce tracking.
