Shift Management

The Shift Management module allows administrators to create, configure, assign and manage employee work shifts across sites and teams. It ensures accurate attendance tracking, roster scheduling, break/grace period configuration and shift allocation while supporting flexible scheduling requirements.
Shift Management consists of:
- Shift Roster View
- Create Shift
- Bulk Shift Assignment
- Manual Shift Assignment
- Shift Configuration Settings
- Week-off Rules
- Break & Grace Time Configuration
Shift Roster Dashboard
The Shift Roster Dashboard provides a monthly overview of employee shift assignments.
All Shift Tab

The All Shift tab displays all configured shifts in tabular format.
Features
Shift Legends

Displays all configured shift types with color coding for quick identification.
- Leaves & Holidays Legend

Displays non-working schedule types:
- Compulsory Holiday (CH)
- Discretionary Holiday (DH)
- Week Off (WO)
These are visually differentiated from assigned shifts.
- Roster View

Displays:
- Employee list
- Daily shift assignment
- Assigned holidays/week-offs
- Monthly schedule visibility
Admins can quickly review scheduling consistency across the selected month.
- Month Selector

Allows navigation between months for viewing or editing schedules.
- Search Users

Search and locate employees by name for faster roster management.
Create Shift:

The Create Shift function allows administrators to define new shift templates.
1. Shift Information-

Basic details required:
Shift Name
Full descriptive name of the shift.
Shift Short Name
Abbreviated identifier used in roster view.
Full Working Day Schedule
Select a full-day work schedule template.
Defines:
- Working hours
- Attendance calculation range
Working Time
Set:
- From Time
- To Time
Defines shift duration.
- Minimum Work Hours

Optional setting.
Defines required minimum work duration for attendance qualification.
Includes:
- Minimum half-day duration
- Minimum full-day duration
- Notify If Minimum Working Hours Are Not Met
3. Partial Working Day Schedule

Optional configuration for half-day or reduced-hour shifts.
Configure:
- Partial working day
- Start time
- End time
Enable Minimum Hours for Partial Day

Allows minimum attendance requirements for partial shifts.
4. Week-Off Settings

Configure weekly off days.
Admins can select which weeks each weekday is considered off.
4. Break Configuration:

Optional shift break deduction settings.
Two deduction methods:
Fixed Minimum Deduction
Automatically deducts predefined break duration.
Best for standardized break policies.
User Break Time
Deducts actual recorded break time from attendance.
Best for flexible break tracking.
Break Durations
Separate settings for:
- Full working day breaks
- Partial working day breaks
5. Grace Time Configuration-

Optional attendance tolerance settings.
Allows small deviations without marking attendance exceptions.
Full Working Day Grace Period

Configure tolerance for:
- Late Check-in
- Early Check-out
Break Grace Period
Optional tolerance around break overages.
Partial Working Day Grace Period

Separate grace settings for reduced-hour schedules.
6. Save Shift Configuration
After completing all required settings:
- Click Save Changes
The shift becomes available for:
- Roster assignment
- Bulk scheduling
- Employee shift allocation
Bulk Shift Assignment:

The Bulk Assign feature enables assigning shifts to multiple employees simultaneously.
Process-
Step 1: Select Shift

Choose the shift to assign from the dropdown list.
Step 2: Select Users

Assign shifts to:
- Filtered users
- All displayed users
Step 3: Select Applicable Date Range

Define:
- Applicable From
- Applicable Until
The shift applies across the selected period.
Manual Shift Assignment
Individual shifts can be updated directly from the roster.
How it Works

Click the dropdown inside a user’s daily schedule cell and select the appropriate shift
Changes are applied instantly for that specific date.
