Spintly Contactless Visitor Management System

This Visitor management module allows organisations to manage scheduled and unscheduled visitors by keeping the visit records. It also makes visitors check-in process smooth and faster with QR code based front desk check-in facility and check-in link for scheduled visitors.

Here are the steps to setup Visitor management:

VMS Settings:

In this tab you can define settings for your organisation based on how you would want it to operate.

 

1. Scheduling and Check-in: Here you can set the visitor's check-in flow and include the information which you would want the visitor to enter or specify when he is doing the check-in. For example, the purpose of the meeting, duration and photos to be uploaded.

2. Declarations: Here admin can set the declarations which a visitor has to agree to before he enters the premises. There is a standard terms and condition form which can be used or a custom one can be uploaded as per your organization. 

3. Visitor privilege settings:

Once the above settings are done, in this step you can specify the users whom you would like to give visitor privileges to so they can call or schedule visitors. You can also decide to give this privilege to all the users from the organisation. 

 

 

VMS Kiosk Settings 

From this tab multiple QR codes for the kiosk can be set up and visitors access control privileges can be defined. 

 

1. Kiosk Setup: 

When a visitor arrives, first approaches the front desk where the VMS Kiosk can be set up. All the kiosk related settings can be done from here. 

Admin can create multiple Kiosks here if you have more than one entry point and name then accordingly. For every Kiosk a QR code will be generated which can be pasted there for visitor 

check-in. 

 

2. Access Settings:

In this step admin can define whether to provide visitor access on the door once he checks in and can specify the doors. 

Visitor Door Access Expiry: 

Visitors access can be set to auto expire based on the timing at which he has done the checkout. Also customer expiry time can be set.

Access point selection: 

Doors can be selected from here on which visitors are allowed to access. During scheduled visit, the host will be able to select from these doors on which he would want to give access to 

the host visitor. 

 

Defining access modes: 

Visitor can access the door after check in from his phone by scanning the QR code pasted at the door or by assigning him the NFC card to access the door. 

 

The door access QR codes can be generated from here and also NFC cards can be added for visitor access. 

VMS Logs:

VMS logs contain visitors history, expected visitors and their access history on the doors. There are multiple filters in here which can be used to filter the data based on date and time. Further these logs can be downloaded in Excel or PDF. 

Scheduling visitor:

Visitors can be scheduled from the Spintly smart access app by the front desk person or any user who has been given visitor privileges. 

1. Click on the Orange iconat the bottom of the Visitor Management screen. Enter the visitor's details and select Schedule. 

2. After the visit is scheduled, the visitor will receive a check-in link which can be used to check- in before entering the premises. In case the visitor loses the pass, then he can scan the kiosk QR code to check-in. 

 

3. After check-in is completed and the host has approved the visit, the visitor will receive a VMS pass on his phone. Same pass can be shown to the front desk person and the visitor can get entry. 

 

If the visitor has provided access on the doors, then the visitor can use the same phone to scan the door QR and get access.
