Tenant Management

The Tenant Management module enables landlords and tenants to securely manage shared access permissions across buildings, sites, and doors. It provides a structured workflow for assigning sites, granting door access, managing tenant users and handling access requests between landlord and tenant organizations.
The module ensures that landlords maintain control over building access while allowing tenants to manage their own users within the permissions assigned to them.
Access Based on Organization Type
Depending on how the organization is configured within the system, different Tenant Management sections will be available.
1. Tenant Organizations

Organizations configured as tenants can access:
My Landlords
This section displays all landlords associated with the tenant organization and the doors assigned by those landlords.
Tenant administrators can:
- View assigned landlords
- Review assigned doors
2. Landlord Organizations

Organizations configured as landlords can access:
My Tenants

The My Tenants section provides a centralized view of all tenant accounts created within the platform.
The tenant listing displays:
- Tenant Name
- Status
- Admin Name
- Admin Email
- Admin Phone Number
- Number of Users
- Assigned Software Modules
- Organization Type
- Doors Assigned
- Action Menu
The platform supports multiple tenant statuses:

Accepted
The tenant is active and fully operational.
Pending
The tenant request has been submitted and is awaiting approval or processing.
Rejected
The tenant request was denied.
Expired
The tenant’s access validity has ended.
Each tenant record includes a View Modules option for reviewing assigned software modules and a View Doors option for reviewing assigned door permissions.

Event Logs

Provides a complete audit trail of tenant-related activities.
Creating a Tenant

To add a new tenant, navigate to:
Tenant Management → My Tenants
Click the Add Tenant button located in the upper-right corner.
Step 1: Basic Details

The first screen collects tenant administrator information.
Admin Name
Enter the full name of the tenant administrator.
Admin Email Address
Enter a valid email address used for:
- Account creation
- Login setup
- Tenant notifications
- Communication workflows
Phone Number
Enter the administrator’s contact number with country code support.
- Tenant User Configuration
Two configuration options are available:
Auto Approve Permissions for Tenant Users

When enabled:
Tenant user permission requests are approved automatically.
Recommended for trusted tenants requiring faster access onboarding.
When disabled:
Requests require manual approval by administrators.
Recommended for stricter access-control environments.
- Enable Tenant User Limit

When enabled:
A maximum tenant-user limit can be enforced.
The landlord can also permit the tenant to exceed the user limit.
Step 2: Assign Sites

The second step allows assignment of one or more sites to the tenant.
A search bar allows quick site lookup by name.

Admins can select sites using checkboxes.

Bulk selection is supported using the Sites option.

Once site selection is complete, click Next.

Step 3: Assign Doors
The final step assigns door-level access permissions.

Admins select the doors that need to be assigned and then click on Send Request.

Managing Pending Requests (Landlord View)
Navigate to:
Tenant Management → Tenant Details → Sites

The Sites tab displays:

- Site Name
- Assigned Doors
- Pending Requests
- Type
- Merged Site
- Action
The Pending Request column shows the number of outstanding requests.

Click View Users to review requests.

Reviewing User Requests (Landlord View)

The Tenant User Details page displays:
- User Name
- Assigned Doors
- Request Status
- Available Actions
This screen allows landlords to review access requests submitted by tenant users.
Approving a Request
- Click Approve beside the user record.

- A confirmation message is displayed indicating that the common door permission request has been approved.
- Select Done to complete the action.
Once approved:

- The requested door permissions are assigned to the user.
- The request status changes from Pending to Approved.
- The user can immediately access the approved doors based on the assigned permissions.
- No further action is required from the landlord or tenant administrator.
Rejecting a Request
- Click Reject beside the user record.

- The request is declined and the user will not receive access to the requested doors.
- The landlord or administrator may submit a new request if access is required in the future.
